The Accounts Payable Officer will play a critical role in ensuring the timely and accurate processing and payment of accounts. This position requires meticulous attention to detail and the ability to manage various tasks efficiently while maintaining high standards of customer service for both internal and external stakeholders. Key Responsibilities: Daily/Weekly Duties: Prepare weekly payment proposals for local and foreign vendors (mostly USD and NZD) for authorisation. Create payment files and upload them to the bank for authorisation. Process vendor invoices accurately and timely, in accordance with agreed service levels, contractual terms, company policy, and legislative requirements. Provide high-quality verbal and written customer service for all internal and external stakeholders in a timely and professional manner. Identify and allocate miscellaneous unreconciled bank payments and perform bank reconciliations. Follow up on overdue credits. Respond to internal and external queries efficiently and promptly. Process staff reimbursements. Maintain vendor records, including creating and amending vendor details as required. Cross-train with the Accounts Receivable function. Reconcile weekly forex payments and their gains/losses. Perform any other ad hoc duties or projects as assigned. Monthly Duties: Generate and analyse creditor reports at the end of the month. Reconcile major vendor statements and ensure all invoices are entered for month-end processing. Perform bank reconciliations for both forex and local accounts on SAP. Manage accruals and provisions for invoices not received at month-end. Skills and Experience Required: Minimum of 2 years of experience in a similar role. Working knowledge of SAP and online banking functionality is an advantage. Strong written and verbal communication skills with the ability to liaise professionally at all levels. High level of accuracy in data entry, and intermediate to advanced Microsoft Office skills, especially Word and Excel. Ability to work under pressure with minimal supervision and supervise others as needed. Excellent organisational and time management skills, with the ability to meet deadlines and work autonomously as part of a larger team. Flexibility to work required hours to complete tasks.
